This Privacy Policy describes how Chiller Tech Support LLC(“Company,” “we,” “us,” or “our”), a limited liability company organized under the laws of the State of Utah, collects, uses, and protects personal information through our platforms:

By using any of these services you agree to the practices described in this Policy. Our Terms of Service govern all services and are incorporated by reference.
Chiller Tech Support LLC integrates third-party technology services through their official interfaces and is not affiliated with, endorsed by, or sponsored by any such provider.

Information We Collect
Information you provide directly:
- Account registration: name, email address, and password (hashed — never stored in plain text).
- AI co-pilot inputs: questions, equipment descriptions, fault codes, setup notes, and other messages you submit — whether signed in or anonymous.
- File uploads: photographs, inspection reports, field notes, and files uploaded for analysis. These may contain embedded metadata (GPS coordinates, device info). You are responsible for ensuring you have the right to upload each file.
- Payment information: billing details processed by Square. We do not store full card numbers. We retain transaction amounts, dates, and items purchased.
- Service requests and communications: name, phone, company, message content, and any correspondence via contact forms or live chat.
- Rider and biometric data (Motorsports Data only): vehicle setups, session logs, lap times, telemetry, and — only if you connect it — heart rate and related metrics from compatible gear.
Information collected automatically:
- Log and usage data: IP address, browser type, operating system, pages visited, timestamps, and feature interactions.
- Session identifiers: cookies used to maintain authentication state. You may disable cookies in your browser settings.

How We Use Your Information
- To provide and operate all Chiller Tech Support LLC platforms.
- To process payments and manage subscriptions through Square.
- To authenticate accounts and prevent fraud or unauthorized access.
- To respond to service requests, support inquiries, and contact form submissions.
- To send transactional communications: purchase receipts, low-credit alerts, and service confirmations.
- To train, fine-tune, and evaluate AI models that power co-pilot features — subject to your opt-out rights described below.
- To monitor platform health, diagnose errors, and prevent abuse.
- To comply with applicable legal obligations.

How We Share Your Information
Chiller Tech Support LLC does not sell or rent your personal information. We may share information only in the following circumstances:
- Service providers: Supabase (database and authentication), Neon (database), Square (payments), and AI model providers — each bound by data processing agreements and authorized to use your data only as directed by us.
- Legal requirements: when required by law, court order, or governmental authority, or to protect the rights, property, or safety of Chiller Tech Support LLC, our users, or others.
- Business transfers: in connection with a merger, acquisition, or asset sale. We will provide notice before your information is transferred and subject to a different privacy policy.
- With your consent: in any other circumstance with your explicit consent.

AI Training & Your Right to Opt Out
Chiller Tech Support LLC trains its AI co-pilot models using interactions submitted to the platforms. This includes queries, diagnostic inputs, uploaded files, and session data from both signed-in and anonymous users.
Uploaded files may be used for AI training unless you opt out. We do not share raw uploaded files with third parties for their own training purposes.

Organization Data & Strict Isolation
Service documentation, job records, deal files, and operational data uploaded by subscribing organizations (“Uploaded Documentation”) is subject to strict isolation commitments:
- Encrypted, org-scoped storage. Uploaded Documentation is never accessible to, shared with, or used to train models on behalf of any other organization.
- No cross-org data use. Documentation uploaded by your organization will not be incorporated into any shared AI model or aggregated knowledge base without your explicit written consent.
- Deletion on request. Upon cancellation or written request, all organizational data will be permanently deleted from our systems within 30 days.

Children's Privacy (COPPA)
We do not knowingly collect personal information from a child under 13 without verifiable parental consent. At signup we collect a date of birth. If a user is under 13, we require a parent or legal guardian to provide identifying information and consent before the child's personal data is collected or used.
A guardian may review the child's information, request its deletion, and withdraw consent at any time by contacting us. If we learn we have collected data from a child under 13 without the required consent, we will delete it promptly.
This commitment applies with particular force on the Motorsports Data platform, where many users are minors competing in sanctioned events.

Your Rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate personal information.
- Request deletion of your personal information.
- Opt out of AI training data use.
- Object to or restrict certain processing activities.
- Receive a copy of your data in a portable format (data portability).
EU/UK users (GDPR): We process personal data under lawful bases including consent, contract, and legitimate interests. You have rights to access, rectify, erase, restrict, and port your data, and to object to certain processing. Contact us to exercise these rights.

Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this Policy, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account and associated personal data by contacting us; however, we may retain certain records as required by law or for legitimate business purposes. Already-created anonymized aggregate data may be retained after account deletion.

Security
Chiller Tech Support LLC implements industry-standard technical and organizational security measures including encrypted data storage with row-level security, hashed passwords, TLS encryption in transit, and strict access controls. No system is completely secure. We will notify you of any confirmed data breach affecting your personal information as required by applicable law.

Changes to This Policy
Chiller Tech Support LLC may update this Privacy Policy from time to time. Material changes will be communicated via a notice on the platform at least 14 days before the new policy takes effect. Continued use of the services after the effective date constitutes acceptance of the updated Policy.
